Privacy policy

Who we are

OrqAIstra works in association with TechSoul Solutions (ABN 49 620 401 649). We are a Sydney-based consulting practice that designs and builds AI automation for Australian organisations. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Privacy is also the substance of what we sell, so we hold ourselves to the standard we recommend to clients.

What we collect

When you contact us or book a call, we collect what you give us: your name, email address, phone number, organisation, and whatever you tell us about your situation. If you book through a scheduling tool such as Calendly, that provider also processes your booking details under its own privacy policy.

The website itself collects very little. Our hosting provider keeps standard server logs (IP address, browser type, pages visited). If we use analytics, it is aggregate and used only to understand which pages are read; we do not build individual profiles of visitors.

Client and engagement data

Our engagements are built around your data staying in your environment. Work is performed inside your tenancy or systems wherever practicable, and we do not take copies of your business data outside your environment unless you agree to it in writing. Anything we learn about your organisation during an engagement is treated as confidential, whether or not a separate non-disclosure agreement is in place.

How we use your information

We use contact details to respond to enquiries, deliver engagements, invoice, and stay in touch about work we are doing or have discussed with you. We do not sell personal information, share it with third parties for their marketing, or add you to a mailing list without asking first.

Third-party services

Like most businesses we rely on a small number of service providers: email hosting, appointment scheduling, invoicing and website hosting. We choose providers with Australian data residency where the option exists, and we limit what they receive to what the service needs to function.

Storage, security and retention

Personal information is stored in access-controlled systems and kept only as long as needed: for the duration of our contact with you, plus whatever Australian tax and business record-keeping law requires (generally five years for engagement records). When information is no longer required, we delete it.

Access, correction and complaints

You can ask us at any time what personal information we hold about you, ask us to correct it, or ask us to delete it. Email contact@orqaistra.com.au and we will respond within a reasonable time, normally a week. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

If we change this policy, the new version is published here with an updated date. Material changes affecting current clients are notified directly.
